Project Officer Job Description

Main purpose and scope


  • Work closely with project managers and senior responsible officers, as well as relevant third parties, subcontractors and associates,  to ensure projects are delivered on time, to budget and with Crest’s hallmark of quality 

  • Support project managers and senior responsible officers with client management, and ensure that contract management is consistent across all projects

  • Provide regular updates internally to senior management and externally to clients on project progression

  • Work collaboratively and share information to support the management of the portfolio as a whole


Position in organisation


  • Line managed by: Head of Strategy and Policy

  • Day-to-day engagement with: Senior Managers and Managers, Business Support Team and Head of Finance 


Hours and location 


  • Based at our offices at 2 Bath Place, Old Street, London for a minimum of 3 days per week

  • Full-time role

  • Fixed term basis of one year initially with a review after 9 months to potentially offer permanent roles


Duties and key responsibilities


The role will support the planning, delivery, monitoring and evaluation of a wide range of high profile and complex projects by:


  • Working with finance and procurement colleagues to ensure all necessary agreements and paperwork are in place for each project (contract, purchase order, invoicing schedule etc)

  • Working with the senior management team to develop a resourcing plan for each project that meets the skill profile required and fits the project budget;

  • Supporting project managers by preparing for and facilitating internal and external project kick offs;

  • Ensure third parties, associates and subcontractors are fully briefed and inducted on relevant projects;

  • Building project infrastructure, then updating and maintaining project documentation across a suite of software throughout the duration of the project;

  • Supporting the scheduling of engagement with key project stakeholders for the largest projects;

  • Reporting on project progress, budget and resources to the Project Manager, Senior Responsible Officer and Senior Management Team;

  • Supporting effective client and stakeholder management through the provision of contract and progress reports suitable for external sharing and organising meetings, setting agendas and taking actions;

  • Identifying and sharing project delivery risks, and contributing to issue resolution;

  • Supporting the project manager to schedule appropriate quality assurance processes throughout the project lifecycle to enhance the quality of final outputs 

  • Ensure the communications team are briefed on delivery timeframes for key outputs


The post-holder may be asked to complete tasks not listed above but which are within the scope of the role.

Essential requirements


  • Outstanding organisation skills: the ability to juggle multiple projects and meet tight deadlines

  • Seeing the bigger picture: the ability to grasp the ultimate aim of a project from the beginning as well as being meticulous with the finer details

  • Numeracy: Good grasp of numbers to comfortable handle budgets and familiarity with excel to visualise spend, costs, progress etc

  • Commercial and financial acumen: maintaining an awareness of costs against planned budget and flagging key risks to project managers 

  • Verbal communication skills: the ability to tailor communications to different internal and external audiences and to manage up and down 

  • Written communication skills: the ability to maintain comprehensive records across multiple projects, maintain client and stakeholder relationships via email/written comms and produce clear and concise project reports tailored to the audience

  • Awareness of possible risks, issues and a proactive, problem-solving attitude

  • Understanding of and commitment to living Crest’s values in day to day work, and a broad interest in making a difference in your day to day work

  • Interpersonal skills: the ability to build and maintain effective relationships internally and externally 


Desirable skills/experience


  • Experience working in a project officer role or similar function delivering high profile and complex projects

  • Experience of working in a consultancy, in central, regional or local government or for a public sector body
